Terms & Conditions

In seeking to use the services of The Oak Centre you must agree to the Terms and Conditions below prior to your first counselling session. Your agreement to the following Terms and Conditions apply to any or all counselling sessions you undertake with The Oak Centre.   

  1. The information on The Oak Centre website is provided on the basis that all persons accessing the site take responsibility for assessing the relevance and accuracy of its content.
  2. The content of The Oak Centre web site is provided for information purposes only. No claim is made as to the accuracy or authenticity of the content of the web site. The Oak Centre does not accept any liability to any person for the information or advice (or the use of such information or advice) which is provided on this web site or incorporated into it by reference.
  3. The Oak Centre counsellors have a mandatory reporting duty to legal authorities if a counsellor has knowledge of or sufficient reason to believe that a crime has been committed or is planned to be committed.
  4. The confidentiality of records and information collected about you will be held and/or released in accordance with relevant state laws regarding the confidentiality of such records and information.
  5. You accept that state and/or Federal laws may require that your counsellor reports all cases in which there exists a danger to self or others.
  6. Any decision made and/or action taken by you as a consequence of counselling provided is wholly at your choice and is and remains solely your responsibility. The Oak Centre does not accept any liability or responsibility for any loss, damage and/or injury suffered nor for any action or inaction by you as a result of the counselling provided
  7. There are inherent security risks in transmitting data, such as emails via the Internet because it is not possible to safeguard completely against unauthorized access by third parties. Accordingly, The Oak Centre shall not be held liable for any damages incurred as a consequence of such security risks or for any related acts of omission on the part of The Oak Centr
  8. Access to the information contained in The Oak Centre website may not be legal by certain persons or in certain countries. If you access The Oak Centre website, you do so at your own risk and you are responsible for compliance with the laws of your jurisdiction.

Cancellation and No- Show Policy

Cancellation by Counsellor

If the counsellor is required to cancel the appointment at any time prior to the start of the appointed counselling session, an email notification will be sent to you and you will be offered the following options:

  • A full refund of the amount you paid, or
  • A credit for the full amount you paid to be used for another booking during the next 3 months

Cancellation by Client

If you cancel a counselling session at least 24 hours before the scheduled start of the session, you will be offered the following options:

  • A full refund of the amount you paid, or
  • A credit for the full amount you paid to be used for another booking during the next 3 months
  • If you cancel a counselling session less than 24 hours before the start of the session, the full amount you paid for that counselling session will be forfeited.

No-Shows

A “no-show” occurs where the relevant participant does not join the online session within 15 minutes of the scheduled start time.

No-show by Counsellor

If there is a “no-show” by your Counsellor, and the Counsellor has not cancelled the session, you will be offered the following options:

  • A full refund of the amount you paid, or
  • A credit for the full amount you paid to be used for another booking within the next 3 months

No-show by Client

If there is a “no-show” by you, and you have not cancelled the counselling session at

least 24 hours before the start of the session  

  •  The full amount paid by you for that counselling session will be forfeited, unless The Oak Centre determines in its absolute discretion to offer a credit for the full or part of the amount paid by you for that counselling session.

Incomplete Session

Incomplete session due to matters not within the reasonable control of Counsellor or Client

 If a counselling session has commenced and the session is interrupted or cannot be completed due to technology failure or for any other reason which is not within the reasonable control of your Counsellor or you, (as determined by The Oak Centre), you will be entitled to a refund based on a pro-rata of the time used in counselling. Pro-rata will be calculated based on 15 minute blocks of time.

Incomplete session due to matters within the reasonable control of Counsellor

 If a counselling session has commenced and the session is interrupted or cannot be completed due to any reason within the reasonable control of the Counsellor (as determined by The Oak Centre), you will be entitled to a refund based on a pro-rata of the time used in counselling. Pro-rata will be calculated based on 15 minute blocks of time.

Incomplete session due to matters within the reasonable control of Client

  • If a counselling session has commenced and the session is interrupted or cannot be completed due to any reason within the client’s reasonable control, (as determined by The Oak Centre),you will forfeit the fees paid for that session.  

Determination by The Oak Centre

In the above cases, both the Counsellor and the Client are required to email a brief report to The Oak Centre setting out the date and duration of the incomplete session and reasons why the counselling session was interrupted or could not be completed. These reports will be used to assist The Oak Centre in assessing the reason for the counselling session being cut short. The Oak Centre’s determination will be final and binding. .
